Where is my Summary?

Didn't receive meeting notes you were expecting? Run through this checklist.

Are you having trouble locating a Summary you were expecting? Let's troubleshoot.

Were your meeting notes delivered?

If Xena has finished generating your Summary, you can find it in several places:

  • Slack DMs with Xena

    • As soon as your notes are ready, Xena will send you a Slack message with an overview of your Action Items and a link to your complete output.

    • Xena will DM you with Summaries you've generated and those that have been shared with you.

  • Web App Feed (desktop)

    • On the homepage, you will see your Feed. Completed Summaries will be listed chronologically here, marked as “View Summary” or “Review Summary.”

  • Web App Feed (mobile)

    • Open a browser and visit the Web App

    • Click the three lines at the top right of the screen to expand the menu

    • Click Feed

    • Completed Summaries will be listed chronologically here, marked as “View Summary” or “Review Summary.”

  • Web App Summaries page (desktop)

    • In the Xembly Web App, you can access the Summaries page through the button on the left side of the homepage.

    • Here, you will find your completed Summaries listed chronologically. You will also be able to see how many Action Items are complete, and you will have an option to share the Summary.

  • Web App Summaries page (mobile)

    • In the mobile Web App, click the three lines at the top right of the screen to expand the menu

    • Click Summaries

    • Here, you will find your completed Summaries listed chronologically. You will also be able to see how many Action Items are complete, and you will have an option to share the Summary.

  • Extension feed

    • Open the Xembly Extension and click on the home icon 🏠 to access your feed.

    • Completed Summaries will be listed chronologically, with a button that says "View Summary."

  • Google Calendar event

    • Visit calendar.google.com and click on the event you're interested in.

    • If a Summary is available, you'll be able to click "Summary" under the event title in the Xembly Extension. Otherwise, it'll be grayed out.

Was Summary enabled?

To confirm that Summary was enabled for your meeting:

In the Xembly Web App:

  • Click on the event in your Web App calendar on the homepage

  • Under “Meeting Settings,” confirm that “Get Meeting Summary” is toggled on.

In the Xembly Extension:

  • Click on the event in your Xembly Web App calendar or Google Calendar

  • Your meeting details should pop open on the right side of your screen.

  • Locate “Meeting Settings.”

  • Confirm that "Get Meeting Summary” is toggled to ON.

Are you the meeting's organizer?

If you are not the meeting's organizer and are expecting notes for this meeting because you have Global Summary enabled, confirm that your automatic notetaking settings include the meetings you're attending as a guest.

To visit your settings, click on the gear icon in the Xembly Web App or Extension, click Preferences, and scroll down to "Summary."

If you are the meeting's organizer, use the instructions in the section above to make sure you enabled Summary before the event began. If you didn't turn on Summary before the event, but someone else in your meeting did, you can ask them to share the notes with you.

Did you organize the meeting using the email associated with your Xembly account?

Currently, Xena only supports one calendar per user. We're in progress on support for personal calendars/multiple calendars per user, and will make sure to highly publicize this (widely requested) feature when it's live.

In the meantime, if you organized your event using a calendar or email address not associated with your Xembly account, Xena won't be able to generate notes.

Did your meeting begin within 15 minutes of its expected start time?

If your meeting starts 15+ minutes early or late, Xena is unable to generate notes.

If you know your meeting will happen outside of its originally scheduled window, you can ask Xena to reschedule it for you. Alternatively, you can send the notetaker to any ongoing meeting as long as the email associated with your Xembly account is invited. Click on the event in your Google Calendar or Web App, toggle on "Get Meeting Summary," and hit "Record" to send the notetaker.

Did your notetaker attempt to join your meeting?

Xena generates Summaries by sending a notetaker to your event; any meeting participant can admit the notetaker. If you've confirmed that Summary was successfully enabled (according to the items above) and that none of your guests rejected the notetaker, a member of our Customer Success team would be glad to help troubleshoot. Drop us a note at support AT xembly DOT com and include event details and the steps you tried.

Was your notetaker admitted?

Any meeting attendee can admit the notetaker to your call on both Zoom and GMeet. Once the first participant has joined, the notetaker will request entry. If no one on the call admits the notetaker, Xena is unable to generate a Summary.

If you've ruled out other options, try reaching out to your guests to confirm whether anyone rejected the notetaker.

Was your notetaker present as an attendee throughout the meeting?

We've received infrequent reports of the notetaker dropping out of calls unexpectedly without being removed by a meeting participant. If you think your notetaker may have 'dropped out,' send us a message at support AT xembly DOT com. We'll help investigate.

How recently did your meeting end?

Summary generation can take up to 0-2 hours once we've received the meeting artifacts from your conferencing provider — though they're typically ready much faster. If you've confirmed that your Summary settings were properly enabled and your notetaker was present for the duration of your call, your notes are probably still in process. If you'd like to confirm this with a progress update, ping Xena on Slack and say something like, "Where are my notes for [event title]?"

Was an attendee on your company's Summary Exclusion List?

The Summary Exclusion List is a feature in the Admin Dashboard, which houses settings that can only be adjusted by the admin of your organization's Xembly account.

The Summary Exclusion List allows your admin to disable Summary for any meetings that include certain individuals. These typically include sensitive teams like HR and Legal.
