Rest assured that your Meeting Summaries are being properly stored and handled —Xembly takes every user's data security very seriously.

If you do choose to delete a Summary, you have a few options:

For Summaries you own

  1. Open the Summary in your Xembly Extension

  2. Click on the three vertical dots at the far right of the icon bar

  3. Click Delete Video or Delete Video & Transcript.

    1. NOTE: This will delete the video, transcript, or both for everyone with whom the Summary was shared. The Summary will be removed from their Xembly Extension feed.

For Summaries you do not own

At this time, only meeting organizers have the ability to delete recordings and transcripts. If you'd like to delete content from a meeting you did not organize, reach out to the host. They can remove it on your behalf following the steps above as long as the Summary was shared with them.

Watch out: If you enabled Summary for a meeting organized by a shared/team calendar, reach out to us at support AT xembly DOT com for assistance.

How to turn on auto-delete for Summaries

As an added precautionary measure, you can set your recordings to delete automatically at the cadence of your choice:

  1. Open Google Calendar and your Xembly Extension

  2. Click the gear icon to open Settings ⚙️

  3. Click Privacy and Security

  4. Toggle Delete Recordings to "on"

  5. Select Video or Video & Transcript according to your preference

  6. In the Delete after dropdown menu, select a time range after which you'd like your recordings to be deleted

The option for "Video" (rather than "Video & Transcripts") is selected. A dropdown menu to "Delete after" is set to "1 Year." The options include Processing, 30 days, 60 days, 90 days, 1 year, and 2 years.

Heads up: Account administrators can configure recording preservation settings on behalf of their entire organization using the Admin Dashboard. If you see a flag like the one pictured below, your deletion settings can't be altered for your account individually.

The rest of the section is 'grayed out' and shows that "Delete Recordings" is toggled "on" and "videos" are set to delete after 2 years.
