Share Meeting Summary to Slack

Learn how to publish Meeting Summaries directly from Xembly to Slack.

Requirements

In order to publish Meeting Summaries directly from Xembly to Slack you must have the Xena by Xembly Slack App configured.


Initial Setup

You may be prompted to update your Slack App connection (even if you are already a Slack App user). This may prompt a review of the application by your workspace administrator if required by your organization.

1. Click Update.

2. Select your workspace (if appropriate) from the top right-hand corner and review the permissions.

3. Click Allow.

"Xena by Xembly is requesting permission to access the Xembly Slack workspace. Xena by Xembly will be able to view content and info about you, content and info about channels & conversations, and content and info about your workspace. Xena by Xembly will be able to perform actions as you, perform actions in channels and conversations, and perform actions in your workspace."

4. If no approval is needed, you’ll receive a confirmation. Select the Go to Slack option.

Need approval from an Administrator to upgrade?

You may receive a “Request Approval Screen” if your Slack administrator requires new applications to get approved. You can type a message to your administrator (optional).

Common Questions

Q. Where will attendees be able to find Summaries shared in Slack?

A. Xena will ping Summaries shared with channels directly to the channel. Summaries shared with individuals will be delivered in a DM between the recipient and Xena.

Q. What if the people I’m sharing a Summary with aren’t Xembly users?

A. When a Summary is shared to Slack, all recipients (individuals and members of a channel) will be able to view the message. However, only Xembly users can view the complete Summary (including the full recording and transcript). Anyone with whom a Summary was shared can click the "View Full Summary" button. Non-users will be guided to create an account.


Sharing in the Xembly Web App (desktop):

There are two ways to share a Summary to Slack in the Web App.

Option 1:

  1. Open the Summary you’d like to share from your Feed

  2. Click on the 'share' icon (box with arrow pointing upward) at the top right of the panel

  3. Click Share To Slack

  4. Using the search bar, search for and/or select the channel or individual with whom you’d like to share the Summary. Optionally, add a message.

  5. Click Share To Slack

Option 2:

  1. On the homepage of the Web App, click on the Summaries tab on the left side of the screen

  2. Locate the Summary you want to share in the grid and click Share

  3. Select Share To Slack and follow the steps outlined above.

Watch out: You can only select one channel or person at a time. If you want to share the Summary with more people, repeat the sharing flow for the additional recipients.


In the Xembly Web App (mobile):

There are two ways to share Summaries to Slack from the mobile Web App.

Option 1:

  1. Open the mobile Web App

  2. Click on the three horizontal lines at the top right of the screen to expand the menu

  3. Click on your Feed

  4. Find the completed Summary in your Feed and click to open it

  5. Click the three dots on the top right of the screen

  6. Click Share To Slack

  7. Use the dropdown menu to specify recipients or choose a channel

  8. Add a message (optional)

  9. Click Share to Slack

Option 2:

  1. In the expanded menu, click on the Summaries tab

  2. Locate the Summary in the card list and click Share

  3. Click Share To Slack and follow the same steps outlined above

Sharing in the Xembly Extension:

1. Visit calendar.google.com

2. Open the Summary you'd like to share (Click the event name in your Xembly Extension Feed or click the event on your calendar and click the Summary tab in the Extension)

4. Click on the 'share' icon (box with arrow pointing upward) at the top right of the panel

5. Click Share to Slack

6. Using the search bar, search for and/or select the channel or individual with whom you’d like to share the Summary. Optionally, add a message. Click Share to Slack.

Watch out: You can only select one channel or person at a time. If you want to share the Summary with more people, repeat the sharing flow for the additional recipients.


Xena will share a message including the following items with your recipient(s):

  • A list of Action Items with their statuses and owners

  • A breakdown of completed vs. open Action Items

  • A link to the full Summary

Heads up: If you share the Summary with an individual, it will be delivered in their DM with Xena, not a group chat including you.
