Learn how Xembly handles scheduling requests based on a user's request and calendar constraints.

Xembly’s goal is to ensure a smooth scheduling process and minimize conflicts for both Xembly and non-Xembly users.


Scheduling in Slack

When engaging with Xena in direct DM, channel, or group message, simply @Xena with your scheduling request. See this article for more information.


For the best results, we suggest providing Xena with details such as:

  • Event name (title)

  • Date

  • Time

  • Duration

  • If you’d like Summary (or notes) on


Scheduling Request Examples:

Broad

  • Schedule a meeting with @colleague.

More Granular (better outcomes)

  • Timeframe / title / notes

    • Schedule a meeting with @colleague next week. Title meeting: “Review onboarding process”. Turn notes on.

    • Schedule a meeting with @colleague @colleague2 on the 29th. Title meeting “Review onboarding process”. Turn notes on.

    • Schedule a 45-minute meeting with @colleague in two weeks after 1 PM PT. Title meeting, “Review Onboarding Process”. Turn notes on.

  • Date / time ranges

    • Schedule 15 minutes with @colleague on Monday or Friday

  • Arbitrary date / day / time ranges

    • Schedule 15 minutes with @colleague any time between August 14th and August 17th

  • Date / time exclusions

    • Schedule 15 minutes with @colleague on Friday at any time except 10 AM - 12 PM

    • Schedule 15 minutes with @colleague any time next week except Wednesday


How Xena Schedules Meetings

  • Xena will default to the next available date/time for attendees unless otherwise specified in the meeting request.

    • If there are no days/times available that meet your needs, Xena will make recommendations based on the greatest number of attendees that can make that time.

  • Meetings default to 30 minutes unless otherwise specified in the meeting request.
