Xena provides comprehensive notetaking services for your team, including support for hybrid and in-person meetings. For best results, consider microphone placement and room acoustics.

How to get a Summary for your in-person meeting:

  1. Schedule a Meeting: Set up a meeting that includes a Zoom or GMeet conferencing link.

  2. Invite Guests: Include all individuals you expect to join the meeting in the invitation.

  3. Meeting Setup: At the start of the in-person session, initiate the call by accessing the conferencing link on a laptop or phone with the microphone activated.

  4. Admit the Notetaker: Ensure the notetaker gains access to the call promptly.

Tips for a successful Summary of your in-person meeting:

  1. Include Attendee Emails: Add the email addresses of all expected participants to the calendar event. This enables Xena to identify speakers accurately.

  2. Optimal Microphone Positioning: Ensure the laptop microphone faces forward, with all participants positioned in front of the device and in close proximity.

  3. Choose a Room with Good Acoustics: Use a meeting space with good acoustics to enhance audio quality.

๐Ÿ’ก Pro tip: For superior audio quality, use an external omnidirectional microphone in the center of the room. This significantly enhances the transcript and resulting Summary.

Watch out: Add at least one guest to the meeting invite to ensure Summary is enabled. The notetaker won't attempt to join events with no attendees.
