How Xena schedules meetings with people outside your organization and those who haven't shared their calendars with you:

  • If all attendees are Xembly users, Xena can access everyone's availability and preferences directly to determine mutual availability.

  • If any attendees are not Xembly users, Xena will rely on the information you provide as the organizer and any preferences from attendees who use Xembly.

Xena will give calendaring priority to Xembly users and those who have shared their availability with the organizer, as Xena will have access to those calendars and preferences. Using this information, Xena will make a default scheduling decision and offer to send an email with alternate options to non-Xembly guests.

Learn more about scheduling with external attendees through the Slack App.

Pro tip: Guests (Xembly user or not) can review your availability and book time on your schedule with your customizable Personal Scheduling Link.
