How to use Auto-Share for Summary

Learn about Auto-Share functionality for Summary and how to enable it.

Auto-Share is available for any meeting that you own that currently has Summary on. When Auto-Share is enabled, Xembly will automatically send your Summary out to everyone in the meeting invite and any other directed recipients after the meeting concludes.

Common Uses:

  • Leaders that are hosting large meetings (e.g. all-hands).

  • Recurring meetings.

  • Meetings that are heavy in Action Items.


Enabling Default Auto-Share

Enable default Auto-Share to automatically share your notes for all meetings with your attendees as soon as they're ready. You can always turn Auto-Share off for individual meetings as needed.

In the Xembly Web App (desktop)

  1. Click ⚙️ Settings on the left side of the page

  2. Click on the Preferences section

  3. Scroll down to Summary

  4. Toggle on Auto-Share Summaries

In the Xembly Web App (mobile)

  1. Open a browser and visit web.xembly.com

  2. Click on the three horizontal lines at the top right of the screen to expand the menu

  3. Click Settings

  4. Click on the Preferences section

  5. Scroll down to Summary

  6. Toggle on Auto-Share Summaries

In the Xembly Extension:

  1. Open your Google Calendar and go to the Xembly Extension

  2. Navigate to Settings by clicking on the Gear icon ⚙️

  3. Click on the Preferences section

  4. Scroll down to Summary

  5. Toggle on Auto Share Summaries

Watch out: Turning default Auto-Share on/off will only impact newly scheduled meetings. If you have Auto-Share turned on for a previously scheduled meeting, you will need to manually turn it off for that upcoming meeting in the Xembly Extension.


Enabling Auto-Share for individual meetings

There are four common workflows for enabling Summary Auto-Share.

Ask Xena for assistance

  1. Ask Xena for assistance in Slack, the Xena chat in the Xembly Web App, or the Xena chat in the Extension to turn Auto-Share on.

  2. Be sure to include the name of your meeting and the emails of any intended recipients outside of the meeting participants.


Turn Auto-Share on from the Xembly Web App

  1. In the Web App, select a meeting that you are the organizer of

  2. Toggle on Get Meeting Summary

  3. Toggle on Auto share summary

Create a new meeting in Google Calendar

  1. Create meeting using your standard workflow

  2. Add conferencing details

  3. Add attendees

  4. Select Xembly Options

  5. Toggle Create Post Meeting Summary to On

  6. Toggle Auto-Share Summary to On

Turn Auto-Share on from the Xembly Extension

  1. Select a meeting that you are the organizer of. The Xembly Extension should pop-up.

  2. Toggle Create Post Meeting Summary to On.

  3. Toggle Auto Share Summary to On.
