There are several ways to turn on Summary for Zoom, Google Meet, or Microsoft Teams meetings you're organizing or attending:

  • Turn Summary on by default for all meetings

  • Tell Xena to turn on Summary for a new or existing meeting

  • Create a new meeting in Google Calendar

  • Turn on Summary for an existing meeting from the Xembly Web App or Extension

Turn Summary on by default

Turn on Summary for all meetings that you own or all meetings on your calendar from the Settings section of your Web App or Extension by clicking Preferences and scrolling to Default Summary Settings. Alternatively, just ask Xena to turn on Summary by default.

The "Summary" settings are visible, with "Default Summary Settings" toggled "ON." A dropdown menu below this toggle indicates that "All Meetings" are selected, not "My Meetings."

If you would prefer to turn on Summary for meetings individually, you have a few options:

Turn on Summary with Xena

Anytime you book a meeting conversationally with Xena through Slack or Xena Chat in the Web App or Extension, add a request to turn on the Summary functionality.

For example:

  • @Xena book a monthly recap meeting with @[guest] and turn on Summary.

  • @Xena book a meeting for @here next week and turn on notes.

Xena understands that the words summary, recording, and notes as it relates to the Xembly Summary feature and will almost always recognize your intent.

You can also do this for an existing meeting (whether or not you're the meeting's organizer) by specifying the meeting and, if needed, the date of the specific meeting instance. See example:

A conversation between Peter Francis and Xena on Slack. Peter says, "Turn on summary for my meetings Ops Leads." Xena replies, "Got it. I've turned on Summary for this meeting series "Ops Leads".

Turn on Summary in Google Calendar

If you manually create meetings in Google Calendar, you can use the Xembly Extension to turn Summary on by flipping the Get Meeting Summary toggle.

  1. Create a calendar event on your calendar as normal and add attendees and conferencing details (Zoom, Google Meet, or Microsoft Teams).

  2. Visit the Xembly Options drop-down menu in your meeting creation window. When you expand that window, you will see the option to Get Meeting Summary and Auto Share Summaries directly with attendees after the event.

  3. Toggle these options to On or Off per your preference.

  4. Save and send your event as usual.

Turn on Summary in the Web App

  • Open the Xembly Web App on your computer or phone

  • Click on an event on your calendar

  • Under MEETING SETTINGS on the details panel, toggle on Get meeting summary

Turn on Summary in the Xembly Extension

  1. Go to calendar.google.com and open any meeting. The Xembly sidebar should slide open.

  2. The screenshot below shows the Info tab in the Xembly Extension which has Xembly options related to the meeting. Toggle the Get Meeting Summary setting to On.

Common Errors

Watch out: If you do not have your conferencing details added to the event when trying to turn on Summary you will get an error. Just add your conferencing details and try to turn on Summary again.

Watch out: Please make sure that you have at least one other attendee in the meeting. For your privacy, Xembly does not attempt to join calendar events that look like time blocks and don't include any other attendees.
